There is always a pre-tour meeting, before each tour. The meeting is normally in the foyer of your hotel (or somewhere very close by) and about 6-7pm. The meeting goes for about 30 minutes, then your TM will get passport info/travel documents from everyone and then the rest of the night is yours (most people stay in the meeting area and get to know their tour mates).
